Who handles your information

Information we collect and why

When you enquire, we collect your name, organisation, email address, project message and any optional phone number, service interests, location, deadline, budget and PDF or Word brief you provide. We use these details to respond, clarify your requirements and prepare a proposal. An enquiry does not subscribe you to marketing emails. Required fields let us process and respond to your request; you may also contact us by email or phone.

Please provide only information needed to discuss your project, and only share another person's information when you are entitled to do so. Avoid sensitive personal records in uploaded briefs.

Hosting, email and access

Axxess provides our website hosting and email services. Enquiries are stored in a private server folder and delivered to our business mailbox. Access is limited to people who need the information to handle the enquiry and the service providers operating these systems. If your enquiry becomes a project, any further sharing and use of production material will be addressed in the project arrangements.

How long we keep information

Successfully emailed enquiry records and attachments are scheduled for removal from the website's active server storage after 30 days from submission. Undelivered enquiries are retained for investigation. This does not automatically delete mailbox copies or backups. We keep business correspondence and project records for as long as needed for the enquiry, agreed work and applicable record-keeping obligations. Contact us to request access, correction or deletion.

Cookies and third-party services

The enquiry form uses a session cookie to help protect submissions. This website does not currently include an analytics or advertising tracking service. Google Fonts and YouTube thumbnail images may connect your browser to Google when pages load. Embedded videos connect to YouTube when you choose to play them. These providers may process technical information, including your IP address, and may process information outside South Africa under their own privacy policies. External social links take you to the relevant provider's website.

Your choices and rights

You may ask us to access or correct your personal information, object to its processing, withdraw consent where applicable, or request deletion, subject to applicable legal requirements. We may need to verify your identity before acting on a request. You can contact us using the details above or raise a complaint with the Information Regulator of South Africa.
